Skyline Properties was pulling in 300+ Zillow leads a month but converting fewer than 4%. Leads sat in a shared inbox for hours before anyone reached out. There was no follow-up system, no lead scoring, and high-value prospects were indistinguishable from casual browsers.

We built a lead scoring engine inside HubSpot that assigns a priority tier to every inbound lead based on zip code, budget signal, and time-on-listing. High-tier leads get auto-assigned to the top-available agent and a personalized SMS fires within 5 minutes. A 7-touch email drip keeps colder leads warm for 90 days.

HOW WE DID IT

01.Lead Source Audit

Mapped all inbound sources (Zillow, Realtor.com, site form) and identified the properties that predicted conversion - zip code, inquiry type, price range.

02.HubSpot Pipeline Build

Structured a tiered pipeline (Hot / Warm / Cold) with automated stage transitions based on lead activity, email opens, and agent notes.

03.SMS + Email Sequences

Wrote and deployed Twilio SMS sequences and HubSpot email drips tailored to each tier - high urgency for hot leads, value-content for cold ones.

04.Agent Assignment Logic

Built Make.com routing rules that assign leads to agents by zip code coverage, current workload, and availability schedule - no manual dispatch needed.
